Terms of service

These terms govern access to and use of PupilRoute, provided by Astragrid Technologies Ltd. A signed order form or agreement with your authority takes precedence where it conflicts with these terms.
1. The service
PupilRoute is a decision-support tool for SEND home-to-school transport. It helps transport teams assess eligibility, plan road-network routes, assign vehicles and analyse cost. PupilRoute supports decisions; it does not make them.
2. Decision support, not determination
Eligibility outputs, route plans and cost figures are advisory. The statutory decision and duty of care remain with the local authority and its officers. You are responsible for reviewing outputs and exercising professional judgement before acting.
3. Access and acceptable use
- Accounts are invite-only and issued to named individuals. Keep your credentials secure and do not share them.
- Use the service only for your authority's lawful home-to-school transport functions, and only with data you are authorised to process.
- Do not attempt to access another authority's data, probe or disrupt the service, or reverse-engineer it.
4. Your data
You retain all rights in the data you enter. We process it as your data processor under the privacy notice and the data processing agreement between us. The public demo uses synthetic data only.
5. Availability
We aim for high availability but the service is provided without an uptime guarantee unless a service level is agreed in writing in your order form. We may perform maintenance and will give reasonable notice of planned downtime where practical.
6. Fees
PupilRoute is licensed to authorities under an annual subscription, typically beginning with a paid pilot. Fees, scope and term are set out in your order form.
7. Liability
Nothing in these terms limits liability that cannot be limited by law. Subject to that, we are not liable for decisions made by the authority in reliance on the service, and our aggregate liability is limited to the fees paid in the twelve months before the claim. The service is provided on a professional-services basis and is not a substitute for the authority's statutory processes.
8. Term and termination
Either party may terminate as set out in the order form. On termination, access ends and your data is returned or securely deleted as agreed in the data processing agreement.
9. Governing law
These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
